StudyBuddy runs on seven departments: sales, subject-matter experts, delivery, a final delivery and QA team, customer support, accounts and HR. Work moved between them by hand, and there was no single trail from a first enquiry through to a finished, paid, delivered piece of work. Hiring ran on ad-hoc, unstructured interviews. Payroll ran separately on a Zoho workflow, generating payslips and payments as a manual chore.

The delivery process alone touched every team. Sales gathers the requirement and negotiates, then checks with a subject-matter expert on cost and feasibility. The work is built, then passed to the delivery and QA team to check. A bill is raised, the customer pays, and accounts gives the green signal before the work is handed to the client. If the client finds a discrepancy, it goes to customer support, who verify whether the client's claim is correct, then back through delivery to the SME to correct it and redeliver. Every one of those steps was a manual handoff that could stall or get lost.
